Step 1 — Whose claim is this?
Choose your profile, check your details, then save any changes before continuing. Your saved details fill in the claim and invoice automatically.
The details on this profile (edit anything — Save Profile keeps it)
Set by the administrator (locked for everybody else)
Bank Details (printed on the Invoice)
Pay (the invoice starts from this, and can be typed over)
Signature required
Draw it once, or upload a scan — PDF, PNG or JPG. Whatever you upload is shown back to you to confirm before it is kept, and from then on it prints itself into the PERSONNEL box on the Claim form and onto the Invoice.
Step 2 — What do you need?
Choose the documents you need for this month. You can review and download them before submitting for approval.
Invoice
This is the invoice itself. Type straight into it — what you see is what the PDF and Excel will contain.

Claim Form
A fillable copy of the Uzma Personnel Time Sheet. Every box sits where it sits on the printed form.

Click a day cell to cycle it: blank → “/” worked → “PH” public holiday → “PTO” paid time off → “MC” medical leave → “UL” unpaid leave → blank. SAT and SUN fill themselves in from the calendar. Only the “/” days count into TOTAL DAYS [A].
Names and dates are pre-filled with the usual approvers — type over any of them if somebody else signs this month.

Generate Documents
A — Claim / Personnel Time Sheet
B — Invoice Timesheet
Send it for approval
Each document goes to the project manager first, then to the HOD, and the HOD’s signature is placed by their PA. They travel separately, so each one has its own status — follow them on the next step.
Not connected to the database. A claim travels between five people on five machines, so it needs the shared database — which this browser cannot reach right now. Nothing is lost: the form is still saved here, and the documents still download.
Put it right and send it again
Something you sent was read and sent back. The reason is below, in the words of whoever sent it. Fix that one thing, then send it round again — it goes the same way it went the first time: the project manager, then the HOD, then the PA.
Status
Where every claim has got to, and what is waiting on you.
Signed copies on file
When a document comes back signed, upload it here. Copies are kept against the person and the month, so any month can be produced again later without hunting through anybody’s downloads.
History
Every signed copy ever filed, for everybody, newest first. The Status step shows one month; this is the whole record, which is what Finance asks for when they ask about last March.
Download for signature
Every time sheet the HOD has approved and not yet signed. Download it, print it, and put it in front of him. Once it is signed, upload it on the next page.
What has gone through
Every signed time sheet sent on from here, newest first, with the leave that month carried. The leave is read off the sheet the copy was filed against, so it is the sheet's own answer rather than anybody's note of it.
Upload the signed copy
Put the signed time sheet on its card, then look at it. Nothing is sent while it sits there — the one Submit at the bottom files every copy, closes those months and hands them to Group People & Finance. A month that has already been through can be given a newer scan the same way, and the newest is what everybody sees from then on.
